Terms & Conditions
- The exhibitor is not allowed to sell the following products: Alcohol or alcohol related drinks / energy
drinks (unless otherwise confirmed in writing by the organisers) / ammunition / fireworks / BB Guns /
Laser Lights. - This is only an application and is subject to approval.
- A reservation is only valid for one week during which time payment must be received for confirmation.
- Full payment of the stand serves as a deposit & confirmation and is non-refundable.
- A stand is non-transferable to another exhibitor.
- Only 2 persons allowed per stand. Additional workers/staff must pay the entrance fee.
- Outjo Wildsfees will not be held responsible for any losses, accidents, injury or damage to property,
equipment or persons. - Outjo Wildsfees reserves the right to suspend exhibitors for any misconduct.
- Exhibitors are responsible for closing and securing their own stands during non-operating hours. Security
is present on the premises but can’t be held responsible for losses or damages.
Fair Trading Hours
- Thursday, 3 July 2025 (optional): 18:00 - 2:00. Friday, 4 July 2025: 08:30 - 02:00. Saturday, 5 July 2025 08:30 - 24:00.
- Exhibitions must be set up and ready for business as from 08:30, Friday 4 July 2025 up to 18:00 and Saturday 5 July 2025. Thursday and Sunday are optional.
- Sunday breakdown time from 07:00. Exhibitors are requested to adhere to this arrangement for security reasons.
Exhibitor Parking
- Exhibitor parking is provided. Only one vehicle per stand allowed in the provided parking area.
- Exhibitor vehicles allowed for offloading until 08:30 every day, thereafter it should be removed from the fair ground.
- Exhibitors to use clearly indicated parking space only.
Electricity
Electrical boards with plugs are at central points. Exhibitors must bring their own extension cords to hook up for power. The owner of all electrical appliances is responsible for the use of all electrical appliances in the stand at own risk with the necessary precaution measures. Neither the electrician, the Outjo Wildsfees or any of its employees can be held responsible for any damages, accidents, losses and/or injuries that occur when using, switching plugs and/or appliances.
General
- NO Motorcycles, Quadbikes or Pets allowed on the grounds.
- Security officials will be on the grounds 24 hours a day.
- All exhibitions / stands must always be kept neat and safe for the public.
- Exhibitors are responsible for their own tables, chairs, gazebos and set-up of exhibitions.
- Stands will only be confirmed once proof of payment has been received.
Tariffs for 2025
- Price per stand is for the whole weekend and includes weekend entries for 2 persons and an electrical
- Price includes free advertising on our social media pages – please supply advertising material to be used.
- Indoor (tent) exhibitor stands 3x3 m: N$ 1000-1150.
- Outdoor exhibitor stands: 5x5 m: N$ 1500, 10x10 m: N$ 2000, 20x20 m: N$ 5000
- Food stands: 4x5 – 5x8 m: N$ 1800-2800
